How Charters Work

What is a Charter Flight?

Perhaps the most fundamental and important of all the questions that are frequently asked; a charter flight is an unscheduled flight that is not part of a regular airline service. With a charter flight, you are renting the entire aircraft and flight crew, and can therefore determine the departure/arrival locations and times. This is particularly convenient when you need to travel to a city that is either not serviced by the airlines, or requires multiple connections before you reach your destination.

Will my flight depart from the main terminal?

The departure location will vary, depending on the size of the airport. Your sales representative will provide with you with the location information prior to your intended travel date.

Many regional airports are equipped with an FBO (fixed-base operator), which will serve as your own private terminal. Privacy is one of the main advantages of private air charter. Unlike an airline flight, where passengers are subject to crowded airports, and intrusive security screenings, passengers on a charter flight can take advantage of the privacy and serenity of the FBO. Most facilities will allow vehicles to park right at the aeroplane.

For those departing from our home base at the Boundary Bay Airport, you will depart from the main terminal building (which serves as the FBO).

Does the price vary with the number of passengers?

No. When you charter an aircraft for personal or business use, you rent the entire aircraft – the price does not vary with the number of passengers. Utilizing the full capacity of the aircraft greatly renders private jet air charter trips more cost-effective.

Baggage FAQ’s

How much luggage can I bring?

Our King Air aircraft are able to carry a specific amount of weight, which includes both baggage and passengers. For safety reasons, the weight and balance of the aircraft is always carefully managed. To assist with this, each passenger is permitted to carry a total of 50lbs (23kg) of baggage. Please note that this is a combined total which includes all suitcases, carry-on baggage, sporting equipment etc.
Frequently Asked Questions

The King Air’s baggage compartment tight on space, particularly when travelling with 6 passengers. To assist us in accommodating all bags, we recommend soft bags as the hard shell suitcases tend to take up more room. Our aircraft can carry 4-5 full size cases when operating with 6 passengers.

Does my pet count towards my luggage allowance?

If travelling with less than 6 passengers, we may be able to accommodate your pet as well as the full baggage allowance. Please contact us for further clarification.

If travelling with 6 passengers, then the weight of your pet and the carrier will count towards your allowance.

Can I bring my pet on the plane with me?

Yes, we can accommodate all travelers, even pets. Remember to consider your whole trip, not just the flight when travelling with pets:

  • ground transportation requirements
  • accommodation in a pet-friendly hotel
  • travel crate, food, water, toys etc.
  • leash, collar, muzzle & other restraints
  • medication
  • waste disposal bags

How many sets of golf clubs can be carried on-board the aircraft?

Will you be able to accommodate my luggage if it is overweight?

Due to the nature of our aircraft, we cannot guarantee that excess baggage will make the flight. This decision will be at the discretion of the captain, based on the aircraft’s weight and balance. Excess baggage that cannot be accommodated will be shipped to your final destination at an additional cost.

Can I bring firearms or ammunition?

No, such items are not permitted onboard Air West aircraft.

Scheduling & Payment FAQ’s

How far in advance do I need to reserve my charter?

In order to ensure that you travel on your preferred schedule, the earlier you book the better. However, Air West is routinely able to book charter flights with only a few hours notice. This last minute option is always subject to crew and aircraft availability.

Can I be flexible with my departure times?

Yes. Whether you’re travelling for business or pleasure, we understand that plans can easily change.

As far as frequently asked questions go, this is one of the most important for you to understand. We are here to make your schedule work. That means that when you book your flight, you pick the departure time. If, however, you are wishing to depart earlier than planned, we request that you contact us as soon as possible. This will help ensure that the crew have adequate time to prepare for the flight.

Your flight crew will report for duty 90 minutes prior to departure. Once on duty, they will be happy to wait if you wish to depart later than planned.

Can you operate in and out of major airports?

Absolutely. Landing or taking off next to an Airbus A380 or a Boeing 747 is a very exciting thrill that makes for a great conversation piece.

Please note that due to the higher landing and airport fees associated with the major airports, the quoted price will be higher.

What payment options does Air West accept?

We accept Visa, Mastercard, American Express, JCB, wire transfers.

For those travelling from China we are also able to accept Union Pay, WeChat Pay, and Alipay.

What is Air West’s cancellation policy?

Air West has a 48 and 24-hour cancellation policy:

The customer will be charge 25% of the total quoted price for cancellations that occur within 48 hours, and 50% for cancellations that occur with 24 hours.

Check-In & On-board FAQ’s

How long before departure should I arrive?

We recommend that you arrive at least 15 minutes prior to departure to allow enough time to complete the check-in process, load bags, use washroom facilities etc. This is yet another one of our key frequently asked questions. We are proud of our boarding and departure times, and this is another factor that separates us from the airlines.

Stuck in traffic? Not a problem, our pre-flight procedures are designed to get you going within 15 minutes to help ensure you still reach your destination on time.

What documents do I require at check-in?

For safety and security reasons, Transport Canada requires that we verify the identification of all persons boarding the aircraft prior to departure. For this reason, you will need to bring one piece of valid government issued photo ID.

Am I allocated a seat?

No. Because you are renting the entire aircraft, you are free to sit where you feel most comfortable. However, as safety is the core value at Air West, on rare occasions you may be asked to sit in a specific row to ensure the balance of the aircraft is kept within the safe limits.

Am I allowed to take photos with the aircraft and crew before and after the flight?

Of course!

We do however remind you that once on the apron aircraft and other vehicles may pose a risk to safety. For this reason, a member of the flight crew will escort you out on the apron at all times. We also ask you consider the following:

  • Moving aircraft
  • Moving vehicles
  • Aircraft engines and propellers


Is Wi-Fi available onboard the aircraft?

Wi-Fi is not available at this time. Tablets are available on-board with aircraft, giving you access to movies, TV shows and magazines for your entertainment.

What are my options for food and drinks on my flight?

Complimentary snacks and beverages (including water, coffee, pop, beer, wine and spirits) are available on all flights. Personalized drink options and catered meals are available for an additional charge. Please note we require a minimum of 24 hours notice for catered meals.

Please notify your sales consultant of any allergies or special requests ahead of time.

In order to ensure the safety of the crew and other passengers, drunk or disorderly behaviour will not be tolerated.

Am I allowed to use cell phones and other personal electronic devices onboard?

You may use your electronic devises freely. Due to the speed at which the aircraft is travelling, you will more than likely not receive a cell phone signal.
